When Labs & Meds receives a new transcribed encounter note (in SOAP format) that it cannot match to an existing patient with sufficient accuracy, the note is added to the Unassigned Clinical Data list. You should review any notes that appear on the Unassigned Clinical Data list as soon as possible, and resolve the notes by doing one of the following:
• Associate the encounter note with an existing patient. Each note in the Unassigned Clinical Data list contains as much associated demographic data as is received with that note. If this data is sufficient enough to allow you to match the result to an existing patient in your organization, you can manually associate the result to that patient. Alternatively, you can access the search & merge page to merge the associated patient with an existing patient of your organization. For more information, see Merge Patient Records.
• Add the associated patient as new. If the encounter note does not contain sufficient data to match it to an existing patient, or if you determine that the associated patient should be considered new to your organization, you can add that patient as a new patient of your organization. The process for associating a note with a patient is the same as the process used for determining duplicate patients. The only difference is how the process is initiated: in the case of notes, the matching process begins when a new transcribed note is received into the system. A potential match is determined based on the patient demographic data that is received along with the note.
